With our recent growth, we’ve added a Project Coordinator role to our team. As a key member of our project team, this position supports project managers in planning, executing, and closing projects. The role may also manage smaller projects or specific phases of a larger project under the direction of the Project Manager. This role involves developing project plans, maintaining project documentation, coordinating meetings and resources, and tracking project progress.
Primary Job Accountabilities and Responsibilities:
- Assist Project Manager with project planning and scheduling.
- Manage smaller projects or specific project phases.
- Develop project plans, timelines and budgets completion using formal project management methodologies under the guidance of the Project Manager
- Maintain project documentation and records.
- Coordinate meetings, project resources, stakeholders, and captures/maintains meeting minutes.
- Tracks project progress, updates project status reports, and provides updates to stakeholders at various times throughout the project lifecycle.
- Identify and mitigates project risks (to budget, timeline, etc.)
- Proactively communicates and documents project issues, changes or risks to the project sponsor, team members and stakeholders.
- When necessary, work with Project Manager to adjust to changing project scope
- Utilize the Gallo-Way PMP process and best practices to manage assigned projects.
- Utilize the Galloway Change Management process to ensure appropriate input and alignment with key stakeholders and team members.
- Utilize design sessions to collaboratively gather cross functional input on the best way forward.
- Conduct project Lessons Learned sessions to build new learnings back into future projects.
- Collaborate with external contractors to coordinate their work with respect to projects.
- Coordinate the development of user manuals, training materials, and other documents as needed to enable successful implementation and turnover of the process or system to the process owner.
- Demonstrate behaviors and actions that align with Galloway culture and values.
- Actively support the food safety management system & employee safety initiatives through adherence to policies, participation in various audits and meetings.
Required Knowledge, Experience and Education:
- Bachelor’s degree in engineering, operations management, business management, or related field
- 0-2 years of experience managing projects with demonstrated success.
- Working knowledge of formal project management methodologies required. Certifications in project management preferred.
- Experience with project management software (Microsoft Project, Microsoft Planner) a plus.
- Experience with continuous improvement project management methods a plus
- Strong organizational and communications skills (written/verbal/presentation delivery)
- Excellent time-management with ability to manage schedules and meet deadlines.
- Facilitate an overall work environment of mutual respect and collaboration.
- Ability to manage multiple projects and initiatives with minimal oversight.
- Team-orientated, highly collaborative, and excellent interpersonal skills.
